The Future of Virtual Receptionists

We live in an era of technology. This is great news for the customer service industry, including the rise of a new breed of virtual receptionist. What is a virtual receptionist? Most people are aware of telecommunication services. You are probably aware of what an internet service provider is, what a long distance calling plan is and how you may even have tried to use them before.

The new breed of virtual receptionist, on the other hand, is about using technology to better the job of a real receptionist. Virtual receptionists have an impact that extends far beyond the workplace.  First of all, virtual receptionists are often cheaper than hiring a worker full time. Some companies are looking at them as a way to save a good part of the workforce. In a recent study, it was found that virtual receptionists are cheaper to hire than on-site receptionists. This makes sense. We already know that in-person receptionists are sometimes slow, but costly to a company. Technology reduces this. On top of it, a virtual receptionist can always be remote, thus never requiring the cost of a physical space like a home or an office. Some virtual receptionists can even be part-time.

A virtual receptionist can make it easy to keep track of incoming messages and calls, as virtual receptionists utilize web-based services. Web-based services allow virtual receptionists access to your business any time, anywhere in the world. If you are a company with a physical location, your virtual receptionist will typically be able to respond to messages and take phone calls, whether at home, in your office or even in a coffee shop. You can communicate back and forth over your virtual receptionist’s own IP number and through the company name or website. The number, as well as your company’s web address, can also be registered and assigned to another virtual receptionist in the event that your first virtual receptionist quits or fails to respond to a message.   Virtual receptionists can also be set up on a per customer basis. This allows them to pick up where they left off if you take a break or simply go on a vacation. If the message happens to come in during your time away, your virtual receptionist can pick it up.

It’s often just as easy to set up a virtual receptionist as it is for a landline phone service, and the set up fees are usually about as low as that of a cell phone plan.  Some virtual receptionist solutions are offered as part of a cloud-based, SaaS based receptionist software. Others are more free-standing in offering, and will charge you nothing or nearly nothing to sign up for a service. Whatever you do, though, if you are thinking about hiring a virtual receptionist, or even a receptionist for your small business, it is wise to find out whether a virtual receptionist can help you with your business goals first. There are a lot of virtual receptionist services online to evaluate, which makes it much easier to see what you get and what costs you will likely have to pay.
